2. Personal data processed and purposes

Contact and assessment forms

We process the information submitted via our forms (name, company, email, phone, role, message) to respond to enquiries and assess whether our services fit your needs. The legal basis is legitimate interest (GDPR Art. 6(1)(f)). Data is transferred to our HubSpot CRM.

Quiz / model assessment

If you choose to email your quiz results, we process your email address and answers to provide a service recommendation. The legal basis is consent (GDPR Art. 6(1)(a)). You may withdraw consent at any time by contacting us at the address above.

Analytics and advertising measurement

The site uses Google Tag Manager to manage its measurement tags. Tag Manager does not set cookies or collect personal data itself; it loads the measurement solutions we have taken into use.

We use Google Analytics 4 to analyse website usage and Google advertising measurement to track the performance of our marketing. Analytics and advertising cookies and the related identifiers are only activated if you have given consent via the cookie banner: the site uses Google Consent Mode, which denies storage on your device by default. The legal basis is consent (GDPR Art. 6(1)(a)). Before consent, Google only receives a cookieless signal without identifiers that a page was opened, used for aggregate statistics.

Part of the measurement data is transmitted through server-side tracking (Tracklution). In that case the data is first sent from our own subdomain (tralut.ngsfinland.fi) to a Tracklution server within the EU, and from there onward to Google Analytics and advertising measurement. This processing is likewise based on your consent and does not take place if you have not accepted analytics and advertising cookies.

3. Recipients of personal data

Data is transferred to the following systems:

  • HubSpot, Inc. (USA): CRM. Transfer is based on EU Standard Contractual Clauses (SCC, Commission Decision 4 June 2021) and HubSpot's Data Processing Agreement. See HubSpot Privacy Policy.
  • Google LLC (USA): tag management (Google Tag Manager), analytics and advertising measurement (consent only). Transfer is based on EU Standard Contractual Clauses.
  • Tracklution: server-side tracking platform (consent only). Acts as a processor on our behalf, and data is processed within the EU (AWS, Stockholm). See Tracklution Privacy & Security.

We do not sell or share personal data with third parties for marketing purposes.

4. Retention

Personal data related to enquiries is retained for up to 3 years from the last contact or end of the client relationship. Consent-based data is deleted when consent is withdrawn or the purpose ends.

5. Your rights

You have the right to:

  • access your personal data
  • request correction of inaccurate data
  • request erasure ("right to be forgotten")
  • restrict processing of your data
  • data portability
  • object to processing based on legitimate interest
  • withdraw consent at any time, where processing is based on consent

6. Right to lodge a complaint

You have the right to lodge a complaint with a supervisory authority if you consider that the processing of your personal data infringes the GDPR. The competent authority in Finland is the Office of the Data Protection Ombudsman (tietosuoja.fi/en).

7. Cookies

The site uses strictly necessary cookies (session management). Analytics and advertising cookies (Google Analytics and Google advertising measurement, loaded via Google Tag Manager) are activated only after consent via the cookie banner. You can change your preferences at any time using the "Cookie settings" link in the footer.

8. Changes to this policy

We update this policy when necessary. The date at the top of the page indicates the last revision.
